LIMSey, LLC (“LIMSey,” “we,” “our,” or “us”) respects your privacy. This Privacy Notice explains how we collect, use, share, and protect personal information when you visit our website at limsey.com, contact us, schedule a demo, or use the LIMSey software-as-a-service application.
1. Who We Are
LIMSey is a U.S.-based provider of laboratory information management software for engineering, manufacturing, and physical testing labs. We sell our software to organizations (our “customers”), whose employees and contractors then use the software in their work. Our principal place of business is in Texas.

2. What This Notice Covers
This Notice covers:
- Visitors to our website (limsey.com) — anyone browsing our marketing site or using our contact form.
- People who book demos with us — typically through our Calendly scheduling page.
- Prospective and current customer contacts — the people at organizations we communicate with about purchasing or supporting our service.
- End users of the LIMSey application — the people whose employers (our customers) provide them access to our software. For end users, this Notice describes our role; the personal information you provide to or generate within our application is primarily handled under your employer’s privacy policy and the contract between us and your employer.
This Notice does not cover personal information your employer collects from you outside of the LIMSey application, or websites operated by third parties that we may link to.
3. Personal Information We Collect
3.1 When You Visit limsey.com
We use a self-hosted analytics tool (WP Statistics) running on our own hosting infrastructure to understand how our website is used. This tool collects:
- Anonymized IP addresses
- Pages viewed and referring pages
- Browser type and operating system
- Approximate geographic region (derived from IP)
This data stays on our hosting infrastructure and is not shared with third-party analytics providers like Google Analytics, Meta, or LinkedIn. We do not place advertising tracking pixels.
3.2 When You Use Our Contact Form
If you submit a contact form on limsey.com (powered by Formidable Forms), we collect the information you provide, which typically includes:
- Your name
- Your email address
- Your company name (if provided)
- The message you send us
This information is stored in our website’s database.
3.3 When You Book a Demo
We use Calendly to schedule demos. When you book a demo through our Calendly page, Calendly collects:
- Your name
- Your email address
- Scheduling preferences (date, time)
- Any information you provide in the booking form
Calendly is a separate service with its own privacy practices, available at calendly.com/privacy.
3.4 When You Become a Customer Contact
If your organization becomes a customer of LIMSey, we collect business-contact information about you in your role as a primary contact, billing contact, or technical contact. This typically includes:
- Your name
- Your business email address and phone number
- Your title
- Your organization
We use this information to deliver service, manage the customer relationship, and communicate with you about the service.
3.5 When You Use the LIMSey Application as an End User
When your employer (our customer) gives you access to the LIMSey application, the application stores and processes information your employer chooses to put into it. This may include:
- Your name and email address
- Your login credentials (passwords are stored only in cryptographically hashed form)
- Records of your activity within the application (audit logs)
- Any other information your employer chooses to associate with your user account
We process this information only on behalf of your employer and per your employer’s instructions. Your employer determines what information is in the application, how long it is kept, who has access to it, and what your rights are regarding it. If you have questions about this information, contact your employer first.
4. How We Use Personal Information
We use the personal information we collect to:
- Deliver, maintain, and improve our service
- Communicate with you about our service, including responding to inquiries
- Schedule and conduct demos
- Manage our customer relationships, including billing and support
- Comply with legal obligations and enforce our agreements
- Detect, prevent, and respond to security threats and incidents
- Analyze how our website and service are used (in aggregate) to improve them
We do not use personal information for purposes incompatible with the purposes listed above, and we do not engage in profiling that produces legal or similarly significant effects.
5. How We Share Personal Information
We share personal information only as described below. We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
5.1 Service Providers
We engage service providers to support our operations, including providers of hosting infrastructure, application management, content delivery, source code management, monitoring, payroll, financial recordkeeping, scheduling, website hosting, and cyber liability services. These service providers process personal information on our behalf, under contracts that require them to protect the information and use it only for the purposes we specify.

5.2 Customers
For personal information processed within the LIMSey application, we share information with the customer (your employer) whose service we are providing, in the manner the customer directs.
5.3 Legal Requirements
We may disclose personal information when we reasonably believe disclosure is required by law, legal process, or governmental request; necessary to enforce our agreements; or necessary to protect the rights, property, or safety of LIMSey, our customers, or others.
5.4 Business Transactions
If LIMSey is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. Any successor will be bound by this Notice or will provide an equivalent privacy commitment.
6. How Long We Keep Personal Information
We keep personal information only as long as we need it for the purposes described in this Notice, or as required by law. For a summary of typical retention periods:
- Marketing site contact form submissions — Up to 2 years from submission, or earlier on request.
- Demo bookings (Calendly) — Per Calendly’s retention.
- Customer business-contact information — For the life of the customer relationship plus a period afterward to support contract administration and applicable legal requirements.
- End-user data within the LIMSey application — Per the customer’s contract with us, generally 90 days after contract termination unless the contract specifies otherwise.
- Personnel and contractor records — Per applicable employment, tax, and legal requirements.
7. How We Protect Personal Information
We protect personal information using technical and organizational measures appropriate to the nature of the information, including:
- Encryption of data in transit (TLS 1.2 or higher)
- Encryption of data at rest in our hosting infrastructure
- Multi-factor authentication for administrative access
- Access controls that limit who can access personal information
- Logging and monitoring to detect unauthorized access
- Annual security awareness training for our personnel
- Regular review of our security practices
We are pursuing SOC 2 Type 2 certification to provide independent assurance of our security controls.
No system is completely secure. If we discover a security incident affecting your personal information, we will notify affected parties as required by law and our customer agreements.
8. Your Privacy Rights
Depending on where you live, you may have the following rights regarding your personal information:
- Right to know what personal information we hold about you and how we use it
- Right to access a copy of your personal information
- Right to correct inaccurate or incomplete personal information
- Right to delete your personal information
- Right to portability — receive your personal information in a portable format
- Right to opt out of the sale or sharing of personal information (we do not sell or share personal information for cross-context behavioral advertising)
- Right to limit the use of sensitive personal information (we do not generally collect sensitive personal information)
- Right to withdraw consent where our processing is based on consent
- Right to non-discrimination for exercising these rights
8.1 How to Exercise Your Rights
For personal information we hold as a controller (marketing site visits, contact form submissions, demo bookings, prospect or customer business contacts, personnel records), email privacy@limsey.com. We will acknowledge your request within 10 days and respond within 30 days, or longer where permitted by law (in which case we will inform you of the extension).
We may need to verify your identity before fulfilling certain requests.
8.2 If You Are an End User of the LIMSey Application
For personal information within the LIMSey application that your employer manages, please contact your employer first. Your employer is responsible for responding to your request and may instruct us to assist. If you contact us directly, we will refer you to your employer.
8.3 California Residents
If you are a California resident, the California Consumer Privacy Act (CCPA, as amended by CPRA) gives you the rights described above. We do not sell personal information and we do not share personal information for cross-context behavioral advertising. Exercise of your rights does not result in any discriminatory treatment.
You may designate an authorized agent to make a request on your behalf. We will require the agent to provide written authorization and we may require you to verify your identity directly.
8.4 Other State Residents
If you live in another U.S. state with a comprehensive privacy law (including but not limited to Colorado, Connecticut, Virginia, Utah, Texas, Tennessee, Oregon, Montana, Iowa, Indiana, Delaware, New Hampshire, New Jersey, Minnesota, Maryland, or others as those laws come into effect), you may have similar rights under your state’s law. Use the contact above to exercise your rights, and we will respond per the timelines in your state’s law.
9. Cookies and Similar Technologies
Our marketing website uses minimal cookies. Specifically:
- Functional cookies that allow the site to operate properly (these are not optional)
- Self-hosted analytics cookies set by WP Statistics, which collect the limited information described in §3.1 above. These cookies do not share data with any third-party analytics provider.
We do not use third-party advertising cookies. We do not use Meta Pixel, LinkedIn Insight Tag, Google Analytics, or similar third-party tracking technologies on our website.
You can manage cookie preferences in your browser settings. Disabling functional cookies may affect site functionality.
10. Children’s Privacy
The LIMSey application and our marketing site are not directed to children under the age of 18, and we do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will delete it promptly. If you believe a child has provided us with personal information, contact us at privacy@limsey.com.
11. International Visitors
LIMSey operates in the United States and stores personal information on infrastructure located in the United States. If you visit our website or interact with us from outside the United States, your personal information will be transferred to and processed in the United States. By interacting with us, you understand that your personal information may be processed in a country whose privacy laws may differ from those of your country.
12. Third-Party Links
Our website and service may contain links to third-party websites. We are not responsible for the privacy practices of those third-party sites. We encourage you to read their privacy notices.
13. Changes to This Notice
We may update this Privacy Notice periodically to reflect changes in our practices, our service, or applicable law. When we do, we will revise the “Last updated” date at the top of this Notice.
