Try to price out a LIMS this afternoon. Open ten vendor websites and look for a number. You’ll find feature tours, ROI calculators, security pages, and ten variations of “contact us for pricing.” What you almost never find is a price.

We publish ours, so this post can do something most LIMS content can’t: actually answer the question in the title.

The short answer

Based on the vendors that do publish numbers and what evaluators consistently report, cloud LIMS pricing typically runs somewhere between $50 and $200 per user per month at the entry level, $200 to $500 per user per month for mid-market systems, and custom-quoted for enterprise platforms — where the software license is often the smaller half of a project that reaches six figures once modules, consultants, and implementation are counted. The rest of this post explains where those numbers come from, what actually drives your total, and the questions that will save you from a surprise invoice in year two.

Why can’t you find LIMS prices anywhere?

Three reasons, in increasing order of cynicism.

First, the honest one: for a lot of vendors, “it depends” is partly true. If the product is sold as a base platform plus paid modules — one for scheduling, one for equipment, one for reporting — there really isn’t a single number to publish, because no two customers buy the same thing.

Second, implementation. For traditional enterprise LIMS, the license is almost a formality; the real project is months of configuration and consulting, and that’s scoped per deal. Publishing the license price alone would arguably be more misleading than publishing nothing.

Third — and this is the one nobody puts on their website — an unpublished price is a negotiable price. If the first number you see arrives in a sales call, it can be tailored to your company’s size, your industry, and how well-funded you sounded on the phone.

Our view: whatever the reasons, the result wastes everyone’s time. You can’t shortlist software without knowing whether it’s a $5,000-a-year decision or a $500,000-a-year decision, and making you book a call to find out isn’t a pricing strategy, it’s a filter for people with time to burn. The five pricing models you’ll run into

Almost every LIMS quote is built from one of these shapes. Knowing which one you’re looking at tells you where the total can move on you.

Per-user subscription. A flat monthly rate per person with a login. Simple to budget and simple to verify on the invoice. The trade-off: if everyone who ever touches a test result needs a full-price seat, connecting your whole organization gets expensive fast — which is why the good versions of this model price occasional users differently. This is our model; more below.

Base platform plus modules. A lower entry price, then separate line items for scheduling, inventory, stability, reporting, API access, and so on. The headline number looks friendly; the configured quote often doesn’t. If you’re quoted this way, price the modules you’ll need in year two, not just the ones in the demo.

Tiered editions. Basic, Professional, Enterprise. The tell to watch for is which tier holds the features a real lab needs — audit trails, custom fields, integrations are commonly two tiers up from the price on the pricing page.

Perpetual license plus maintenance. The legacy on-prem model: a large up-front license, then 18–22% of it per year in maintenance, plus your own servers and IT time. Rarer now, but still common in enterprise deals and government labs.

Per-sample or usage-based. Attractive for very low volumes, hard to budget for growing ones, and it puts a price on the exact behavior you want more of — putting work through the system.

What actually drives your total cost

Whatever the model, these are the questions that determine what you’ll really pay. Ask all of them, of every vendor, including us.

  • Who counts as a user? Do read-only users or request submitters pay full price? This one question can triple a quote for an in-house lab that serves a whole engineering organization.
  • Is the quote the whole product? Or a base platform with modules to be named later?
  • What does implementation cost, and what does it include? Configuration, training, report templates — in or out?
  • What does data migration cost? Bringing years of historical results into the new system is real work. Decide early whether you need it; it’s also the line item most labs can skip.
  • What do instrument and system integrations cost? Per-instrument fees and custom interface projects are where enterprise quotes quietly double.
  • What support tier is included? If “someone answers your email” is a paid upgrade, that’s part of the price.
  • What happens at renewal? Ask references what their price did in year two and three. Escalators are where “contact sales” pricing earns its keep.
  • What does leaving cost? If you can’t export your data in a usable format, the exit fee is whatever the vendor wants it to be. Ask before you sign, not after.

None of these make a vendor dishonest. But every one of them is a place where the number in the proposal and the number in your budget three years later can part ways.

Our pricing, in full

LIMSey has two kinds of seats, one price each:

  • Lab seat — $300 per user per month. For the people who run the lab: technicians, lab engineers, and managers who schedule work, record results, manage equipment, and generate reports.
  • Requester seat — $45 per user per month. For the engineers and colleagues who submit test requests, track status, and receive reports.

Everything is included in both. Job tracking, scheduling, equipment and calibration management, reporting, dashboards, the AI assistant — every feature, every update, no per-module fees, no editions.

The two-seat structure exists because of who we build for: in-house test labs at manufacturers, where a lab of ten serves an engineering organization of fifty. Most of those fifty people don’t run tests — they need to submit a request, see where it stands, and get the report. Charging full price for that would mean the lab connects nobody and goes back to email; the reduced-rate requester seat means the whole organization can be in the system without the bill saying otherwise.

What that looks like in practice: a lab with 10 lab staff and 20 requesting engineers runs $3,900 per month — requests, scheduling, equipment, reporting, and dashboards for the entire operation. A five-person lab with a handful of requesters lands under $2,000. If you have hundreds of requesters, talk to us about volume pricing.

What implementation really costs

The question behind the question, since this is where LIMS projects earn their scary reputation.

Standard setup is part of getting you live, and our team leads it: configuring LIMSey around your workflows, training your users, and getting you running with our default report templates. For many labs, implementation costs nothing beyond the subscription.

Labs with bigger scope — custom report templates, historical data migration, custom features, on-site training — may have a one-time implementation fee. It’s scoped to your lab and quoted before you commit, so the exact number is in your demo quote, not discovered later. Nothing gets billed that wasn’t agreed up front.

That’s the whole policy. Compare it to the traditional enterprise pattern — a five-figure implementation project before the first sample is logged, then paid consultants for every change after — and you’ll understand why we think the implementation line deserves more scrutiny than the license line in any LIMS evaluation.

The comparison that actually matters

Most labs evaluating a LIMS at our end of the market aren’t choosing between vendors. They’re choosing between a LIMS and the spreadsheets they already have, which are free the way a leaky roof is free — you just pay for it somewhere else: engineer hours spent chasing statuses, samples that go quiet for weeks, reports rebuilt by hand, audit prep that takes a month. If the spreadsheet pain is real in your lab, a LIMS at $3,900 a month isn’t competing with $0. It’s competing with the salary-hours your team currently spends being the LIMS.

How much does a LIMS cost per user per month?

Published per-user prices across the industry range roughly from $50 to $500 per user per month depending on tier and market. LIMSey is $300 per user per month for lab staff and $45 for requester seats, everything included.

How much does a LIMS cost for a small lab?

At our prices, a five-person lab runs $1,500 per month before requester seats — a five-figure annual decision, not a six-figure one. Entry-level systems can be cheaper per seat; check which features and support are actually in the tier you’d buy.

Is there a free LIMS?

Free tiers and open-source LIMS exist, and for a very small lab with technical staff they can work. Budget honestly, though: with open source, the license is free but the system isn’t — hosting, configuration, upgrades, and maintenance all come out of someone’s engineering time. “Free” usually means “paid for in hours.”

How much does LIMS implementation cost?

Enterprise LIMS implementations routinely run five to six figures. Ours is different: standard setup is included and led by our team, and larger-scope work — custom report templates, data migration, custom features — is scoped and quoted up front, sometimes at zero, so you know the exact number before you commit.

Why don’t most LIMS vendors publish pricing?

Partly because modular products genuinely have no single price, and partly because an unpublished price is a negotiable one. We think the evaluator’s need to budget outweighs both, which is why our prices are on the website.
